For our Fleet and Facility Team, we are currently looking for a motivated
Receptionist (m/f/x)
Responsibilities
- Reception and Switchboard: Greeting customers and employees; answering, prioritizing, and transferring incoming calls
- Fleet Management: Organizing vehicle reservations and parking spaces at headquarters
- Office Supplies Management: Ordering, stocking, and distributing office supplies; ensuring continuous availability
- Mail processing: Franking, mailing, and internal distribution of incoming and outgoing mail, as well as handling courier shipments
- Processing of employee personal orders: Reviewing order requests, forwarding them to the appropriate departments, and tracking them until pickup by employees
- Account assignment and verification of all FM-related invoices; close coordination with accounts payable to ensure accurate and timely posting
- Badge management: Issuance and management of temporary badges, maintaining relevant lists, and monitoring returns
Qualifications and experience
- Completed commercial apprenticeship (e.g., Commercial Clerk EFZ)
- Proficiency in Microsoft Office
- Excellent German and good English skills. Knowledge of French and/or Spanish is a plus
- Friendly demeanor, organizational skills, and discretion
- Ability to work independently and reliably
- Experience with internal communication and customer contact
- Experience organizing small events or internal training sessions
- Proficiency in using telephone systems and mail processing systems
- Strong interpersonal skills and a passion for working with people
- Quick learner and flexible in day-to-day work
